Process automation
Process automation: less retyping, more time with customers
In most companies I work with, someone spends hours every week copying data between email, Excel and a system. That's work automation does faster and without typos. I connect your tools in n8n or Make and, where it makes sense, add AI — to read emails and documents and draft replies.
Typical time thieves
- Orders and enquiries retyped from email into a system or spreadsheet.
- Weekly reports stitched together from three sources, always on Friday afternoon.
- The same answers to the same customer questions, written from scratch.
- Customer details entered separately in the CRM, invoicing tool and shipping software.
Examples of automations I build
An inbox that sorts itself
AI reads incoming email, recognises orders, complaints and quote requests, extracts the data and drafts a reply for approval.
Reports without manual work
Sales, accounting and Google Ads data gathers itself, and the report lands in your inbox or Teams on Monday morning.
One entry instead of five
A new customer in the CRM automatically appears in invoicing, on the mailing list and in the team calendar.
Documents and invoices
Reading PDFs and invoices (OCR + AI), approval workflows and hand-off to accounting — including KSeF.
How we work
- 01
Process audit (free call)
We pick 1–3 processes that take the most time and can be automated. I estimate how many hours a month you'll win back.
- 02
Prototype in a week
The first automation runs on your data within days — you see the result before deciding on more.
- 03
Rollout and safeguards
Error handling, alerts, permissions and documentation. Automation should run for years, not until the first email format change.
- 04
Growth
After the first process, the next ones usually become obvious. We build them step by step, as a block of hours or per project.
What it costs
| Scope | Indicative price | Timeline |
|---|---|---|
| Automating one process (e.g. email → CRM) | £450 – £1,300 | 1–2 weeks |
| Several connected processes with AI | £1,300 – £4,400 | 3–8 weeks |
| Tools (n8n / Make / AI APIs) | £0 – £110 / month | — |
| Care and development | from £110 / month | — |
Where an hour of work costs around £22–£33, winning back 10 hours a month usually pays for the rollout within a few months. Quote after a free call.
Frequently asked questions
n8n or Make — which one?
Make is simpler to start with and fine for lower volumes. n8n can run on your own server — cheaper at scale and better when data must not leave the company. I pick the tool for the process, not the other way round.
Won't AI send a customer something silly?
In customer-facing processes AI prepares a draft and a person approves it with one click. Full autonomy is switched on only where the risk is small and measured.
What if an automation stops working?
Every workflow has error handling and alerts. Under a care plan I monitor automations and fix them before you notice a problem.
Do I need modern systems?
No. Even older software can be connected — via an API, file exports or a mailbox. I'll assess it on the first call.
